Reservation Policies and Procedures Our policies and procedures used in making a reservation are listed below. To view specific policies and procedures for a Facility, view the General Rules located on a Facility’s Details page. Click a policy below and the information will appear. Booking Policies and Procedures When entering criteria to search for a campground/campsite or marina slip, you should be aware of the following policies and procedures: Minimum Stay Determines the minimum number of nights a reservation can be booked for at a particular location. When entering the Length of Stay on a campground search, the number of nights entered must meet the minimum requirements as set in the contract policies. Maximum Stay Determines the maximum number of nights a reservation can be booked for at a particular location. When entering the length of stay on a campground search, the amount can’t exceed the requirements. Minimum Window Determines how close a reservation can be made before the arrival date. When entering or selecting the arrival date for a campground/campsite search, the date must not be before the minimum window. Maximum Window Determines how far in advance a reservation can be made before the arrival date. When searching for an available campground/campsite, this determines the first date there will be availability, if searching prior to the camping start season. Specified Stay Start Determines if reservations are required to start on a specific day of the week for the site selected. This rule will determine what specific day of the week a user will be able to book a reservation on. Shopping Cart Policies and Procedures When processing an order in the Shopping Cart, you should be aware of the following policies and procedures: Minimum number of occupants A Facility can determine the minimum number of occupants that are required on the site before a reservation can continue to be processed. This information is entered in the Number of Occupants field on the Reservation Details page. Maximum number of occupants A Facility can limit the maximum number of occupants that are allowed on a site before a reservation can continue to be processed. This information is entered in the Number of Occupants field on the Reservation Details page. Maximum number of vehicles A Facility can limit the maximum number of vehicles allowed on a site. This information is entered on the Reservation Details page in the Number of Vehicles field. Inventory Hold Time Out Determines the amount of time items in the reservation details or Shopping Cart will be held. This is indicated as a stop watch icon at the top of the page. Once the timer expires, the sites are placed back into the list of available inventory. Maximum Consecutive Stay Determines the maximum number of consecutive days a user can stay at the Park at any given time. The system will determine this when a user enters dates and length of stay on the Site Details page or in the Shopping Cart. Maximum number of concurrent reservations Determines the number of reservations allowed to be made within a specific period of time. If a user has exceeded this amount, the system will not allow another reservation to be processed from the Shopping Cart. The specified amount of time will need to pass before another reservation can be made at the selected Facility. Maximum number of orders within a stay period Determines the maximum number of reservations that can be made over a stay period. If this amount has been exceeded, the system will not allow a reservation to continue being processed in the Shopping Cart. A reservation must be made for another time to avoid this issue. Maximum number of reservations with same start date Determines the maximum number of reservations with the same start date. Making too many reservations that have the same start date will trigger this error. Maximum total stay Determines the total maximum number of days a customer is allowed to stay at a Park in the duration of a season. The system will not allow a user to book a reservation when they have exceeded this period of time. Specified Stay Start The Specified Stay Start rule controls reservations that are required to start on a specific day of the week. Stay Beyond Maximum Window The Stay Beyond Maximum Window rule determines the length of time a reservation can be extended beyond the maximum window.
